The Objective

To ensure a seamless, high-caliber conference experience for graduate studies stakeholders, speakers, board directors, and special guests by providing agile, bilingual administrative data infrastructure and marketing support during the critical 3-month pre- and post-event windows.

The Challenge: Lean, Distributed Event Coordination

Organizing a major national conference requires meticulous cross-functional alignment. CAGS faced unique constraints that required a highly specialized support framework:

  • Geographic & Remote Dispersion: The core executive team, the remote PMA based in Quebec, and the event venue in British Columbia spanned multiple time zones, requiring airtight asynchronous communication and file management.

  • Bilingual Mandate: As a national Canadian organization, all communications, material creation, and data oversight had to strictly maintain professional-grade bilingualism (English and French).

  • Highly Constrained Resource Window: Operational support was limited to a lean, part-time schedule (5 to 10 hours per week), meaning task prioritization and time management had to be flawless to avoid project bottlenecks.
