Project Overview
Key Challenges and Opportunities
After six years of growth, the ArtistInspire Youth Mental Health Initiative (AIG) was hindered by a legacy system that relied on "heavy human elements." Manual data entry, a "single point of failure" bespoke codebase, and a point-person system in schools led to administrative bottlenecks, communication gaps, and compliance risks under Law 25. The team was spending more time troubleshooting glitches than building relationships.
The Strategy:
We partnered with ELAN to lead a comprehensive Digital Transformation, as 60% of small charities and nonprofits lack a tech strategy. We provide solutions for Executive Directors struggling with digital roadmaps.
We replaced manual spreadsheets with an automated "traffic light" system that triggers actions, notifications, and application flows. By aligning school and artist data and integrating search filters tied directly to Quebec Education Program (QEP) competencies, we moved the project from administrative survival to strategic scalability.
Impact and Results
-
✺
Operational Efficiency: Drastic reduction in manual processing, empowering the Project Manager to focus on high-level stakeholder engagement rather than data entry.
-
✺
Curriculum Alignment: A modernized artist database that allows schools to find QEP-aligned workshops in seconds.
-
✺
Compliance & Governance: Aligning internal data government standards. Established a documented, bilingual, and Law 25-compliant system that is built for the future.
